Office Administration Assistant

Mi’gmawe’l Tplu’taqnn Incorporated (MTI) is a not-for-profit organization created by the Mi’gmaq First

Nations in New Brunswick. Its objectives include promoting and supporting: the recognition, affirmation,exercise, and implementation of the Aboriginal and Treaty rights; the right of self determination; political, cultural, economic, educational and social development; justice and equity; wider respect and understanding; and general awareness of its member communities and their Mi’gmaq laws, rights, values, traditions, customs and practices.


MTI is seeking an Office and Administrative Assistant who will be responsible for communicating information that is directly related to MTI files within various MTI departments and its respective

Mi’gmaq Chiefs, Directors, Managers, Coordinators, Liaisons and support staff, along with providing

administrative support to the Executive Director and MTIs departments, as well as other miscellaneous

tasks.


Reporting to the Executive Director, the position’s primary responsibilities would be to ensure

administrative effectiveness and efficiency via document control, minute taking, coordination of

meetings and events, and administrative support throughout all departments.


This position includes, but is not limited to, the following key job functions and responsibilities:


Key Responsibilities

  • Provide efficient and professional administrative support to MTI staff and legal counsel, as

  • required;

  • Support in the management and effectiveness of support services within various

  • departments in MTI;

  • Greet visitors to the office in a friendly and courteous manner;

  • Answer general phone inquiries in a professional, competent and courteous manner;

  • directing to appropriate staff;

  • Assist with funding applications and proposals to support MTI strategic goals and priorities;

  • Order office supplies as needed;Assist in preparation of various meeting materials when required;

  • General filing and document management, including legal files and mail.

  • Research and prepare relevant documentation for workshops and meetings and for general

  • distribution within communities;

  • Assist in the presentation of information and updates to Chiefs through meetings and

  • written reports;

  • Work with other MTI staff, consultants and advisors as required;

  • Report to and take direction from the Chiefs through the MTI Executive and Executive

  • Director on a weekly basis and whenever else required;

  • Other matters as may be directed by the organization.

The Candidates Shall:

  • Be a self-starter and able to work alone with minimal supervision;

  • Have excellent written, spoken and presentation skills;

  • Exceptional computer skills and software applications such as Microsoft Office;

  • Experience and knowledge of administrative duties including document control.

  • Be accessible by phone and email when required;

  • Be willing to work flexible hours when and where needed;

  • Be able to maintain expenditure controls;

  • Possess a valid, non-restricted, non-probationary drivers’ licences, clean drivers’ abstracts and

  • have access to a vehicle; and

  • Be able to travel on short notice.

Asset Qualifications:

  • Preference may be given to candidates that demonstrate:

  • Have a good understanding and/or familiarity with the Mi’gmaq language and Mi’gmaq

  • communities in New Brunswick.

  • Knowledge of operational procedures within various Rights based organizations;

  • A related university or college degree and demonstrated, relevant and practical experience

  • supported by references.

SALARY: The position is dependent on confirmation of funding. Salary will be based on experience.
